Bookkeeping for freelancers: see what’s left of your fee
As a freelancer, you negotiate day rates, not salaries. So what’s in your account at the end of the month is never what belongs to you – VAT and income tax are already in there, just not deducted yet. Sumaro keeps estimates, invoices, receipts and payments together and works out every night how much of it is really yours.
Your fee isn’t your money
A day rate of €800 sounds different from what’s left of it. VAT belongs to the tax office, and part of the profit goes to income tax. If you don’t separate these amounts, you plan with money that isn’t yours – and find out when the tax assessment arrives.
Sumaro calculates the reserve from every incoming payment and shows separately what is expected and how much of it is already allocated. The figure is on the dashboard in the morning, not next spring.
- Show VAT and reserve separately
- Expected incoming payments for the next 30 days
- Calculated and estimated figures stay separate
One flow instead of five tools
Many freelancers work with one template for estimates, a second for invoices, a folder for receipts and a spreadsheet for the overview. Every switch between tools costs time and creates discrepancies between versions.
In Sumaro, client, project, estimate and invoice remain one and the same case. A client’s yes becomes the invoice without you retyping line items; the incoming payment lands on the same case.
- Turn an estimate into an invoice
- Maintain client details once
- File receipts with the case
- XRechnung and ZUGFeRD from the same invoice
Stop chasing unpaid fees
In freelancing, late payment is the rule, not the exception. Sumaro learns from paid invoices how many days a client usually takes and tells you whether someone is out of the ordinary or simply behaving as usual.
Payment reminders and dunning letters are created as drafts. Whether, when and in what tone they go out is your decision – especially with clients you want to keep working with.
If you’re coming from another program
You bring your client list along as a CSV: you map the columns yourself and see every row before anything is created. The import has been tested on a real lexoffice export with 35 columns.
Invoices and receipts from the current year deliberately stay in the old program. A cut-over date is cleaner than half a migration – the old system has to stay readable anyway.
