Bottom line

Does your daily workflow fit Sumaro, and when does it not?

Sumaro is built for German solo service providers who want to connect clients, estimates, invoices, receipts, payments and dunning letters in one calm workspace. easybill may be the better fit for other requirements or existing processes. Check features, price and data migration against your real workflows.

Sumaro is this site’s own product. This comparison is an editorial assessment, not an independent review.

The difference

Less follow-up work through one focused workflow.

Sumaro is built around the recurring financial routine of a solo service provider: prepared invoices, controlled dunning drafts, clearly identified incoming payments, receipts and a finance briefing work together. AI also helps with estimate drafts, without simulating tax decisions.

  • Autopilot that prepares plannable groundwork automatically
  • AI help with estimate drafts and wording
  • Finance cockpit with the next sensible task
  • Controlled approvals instead of blind automation
Finance cockpit · Time saved

Less follow-up work after every job. More time for your business.

Sumaro brings automation, AI help and a financial overview into one workspace. You copy less from one place to another and review the items where your decision really counts.

The actual time saved depends on your workflow. That is why you can measure it during the trial: time your current monthly routine once, then run the same client case in Sumaro and compare the review steps that remain.

AI help for estimates requires an enabled AI configuration. Sumaro deliberately describes automation and AI separately.

01

Recurring invoices

Sumaro creates due invoice drafts in advance, with service period and payment terms, for you to review.

02

Incoming payments

You import bank transactions as a CSV. Sumaro reconciles the imported transactions and matches unambiguous incoming payments to open invoices.

03

Reminders and dunning letters

The daily dunning run prepares the letters that are due. Nothing is sent until you approve it.

04

Receipts inbox

Receipts from the monitored mailbox are collected regularly in one place for review.

05

Financial bearings

Payment horizon, revenue gaps and an expected tax reserve show what matters next.

In short: Sumaro cuts the business follow-up work where it repeats every month. The Autopilot prepares plannable tasks, the AI helps with estimates, and the dashboard organizes incoming payments, open items, revenue gaps and the tax reserve. Critical steps deliberately stay reviewable, so you save time without giving up control.

Sumaro mainly saves the small repetitions between job and payment: not re-entering the same client details, not constantly searching for incoming payments and not assembling due dunning letters from a side list. Test the same client case in both systems: an estimate, an invoice, an incoming payment and one open receivable. That way you compare the actual workflow, not just feature lists.

In practice

What work goes away after you switch.

01

Audience and way of working

Sumaro focuses on solo service providers and small workspaces. The interface and workflow are meant to hold the business side of a job together without giving the impression of a full ERP suite.

With easybill, other integrations, templates or automations may be in the foreground. The right comparison therefore starts with your recurring tasks, not with a long feature list.

02

Invoice, payment and dunning

In Sumaro, estimate, invoice, incoming payment and open receivable stay linked. Number sequences and settings apply per workspace. The dunning process shows the next step but leaves the decision on tone and escalation to you.

If you already know an existing platform well, switching only makes sense if the new workflow creates noticeably less friction. Test a real client case from estimate to payment.

03

E-invoicing and traceability

Sumaro prepares PDF, XRechnung and ZUGFeRD output and states explicitly that this does not replace external certification. For any alternative, compare which formats, validations and recipient requirements are actually covered.

For daily work, it also matters whether original files, activity and corrections stay traceable.

04

Migration checklist

Before switching, export clients, open invoices, number sequences, receipts and payment data. Check which documents must be archived unchanged and which data should be re-entered.

Start with a test migration and a small workspace. Only once PDF, e-invoice, dunning and export work should you make the switch for real.

05

Compare features on a real job

Instead of comparing providers via a long feature list, take a completed job from your day-to-day work. Create the client, write the estimate, turn it into an invoice, match a partial payment and prepare a reminder. Don’t just measure the number of clicks, but also whether you can later explain the status and the original files without searching.

Then test a special case: an e-invoice with an additional reference, a correction or a receipt that has to be matched to an expense. A product can look good in the standard case and not fit your requirements in exactly this special case. The test should drive your decision.

  • Test the standard case and a special case separately
  • Check export and restore
  • Only start migrating after a small trial run
06

When easybill may be the better choice

If you have already invested heavily in existing integrations, templates or workflows, staying with easybill can make more economic sense. A larger feature set or a particular marketplace connection can also matter more than a leaner interface. A fair alternative names these reasons explicitly.

Sumaro is interesting if you mainly want to simplify the German order-to-payment workflow for a small workspace. Decide only after a test with your real data, and check price, support, export and retention together.
