Create invoices without piecing the job together again
Any invoicing program can generate a PDF. Sumaro also keeps client, project, estimate, invoice, payment and dunning letter together as one case – so you type the same data once instead of three times, and at the end you know which part of it has been paid.
From estimate to invoice without entering anything twice
Client details and line items can be carried over from an accepted estimate into an invoice. You don’t have to rebuild the job in a template, and you can still see how invoice and project belong together.
For recurring or similar services, templates and clear statuses help. The app shows whether a document is a draft, sent, overdue or paid. That keeps the next business step visible.
- Link clients and projects
- Carry estimates forward
- Record service period and payment terms
- Prepare PDF, XRechnung and ZUGFeRD
Number sequences and workspace separation
Each workspace keeps its own settings and number sequences. That matters when several solo service providers use the same SaaS application. Each number is assigned transaction-safely and is not silently changed after sending.
With corrections, cancellations or questions, the original case stays traceable. The database supports this boundary in addition to the application.
Payments and open amounts in the same flow
An invoice isn’t done the moment it has been sent. Sumaro shows the due date, incoming payments and open amounts alongside the document. Partial payments and matches stay visible in the history.
When a deadline passes, you can prepare a payment reminder or dunning letter. The app automates routine work, but it does not decide on its own about disputed claims or legal steps.
Who it’s for
Sumaro is built for German solo service providers and small businesses that want estimates, invoices, receipts and incoming payments in one place. If you need extensive inventory management, several hundred users or custom enterprise processes, you may need a different system.
Before you start, it’s best to test your real workflow: create a client, write an estimate, generate an invoice, match a payment and check an export.
Transparent limits
Sumaro supports invoicing processes but does not replace a tax advisor. Statements about GoBD (German rules for proper digital bookkeeping), e-invoicing and tax law are therefore phrased with sources and caveats. Getting your classification right, and approving before anything is sent, stay with you.
Who the invoicing workflow fits
The workflow suits consulting, design, development, coaching, agency services and other work where a job consists of a few clear line items. You don’t need inventory management to create a client, write an estimate, finalize an invoice and track the incoming payment.
If you manage many stock movements, complex product variants or a large sales organization, a broader solution probably makes more sense. Sumaro deliberately narrows its focus: the commercial workflow of a small service business should work reliably, without imitating an enterprise suite.
From the draft list to payment
In a draft you can still edit client details and line items. On finalizing, the document gets its number and the version that is later sent and archived. After that, the status moves through sent, due, partially paid or fully paid. Open amounts stay visible instead of disappearing into a separate spreadsheet.
With a correction, the original record is preserved. For recurring services you can prepare a template, but you have to check the specific period, amount and recipient before finalizing. That way the software supports routine without removing professional control from the process.
- Check drafts before finalizing
- Derive status and open amounts from the document
- Keep corrections linked to the original invoice
Export and handover to your tax advisor
Invoicing software doesn’t have to replace your tax advisor. But it should deliver an understandable export: invoices, estimates, payments and relevant attachments can be compiled by period or by case. Before handing over, check that the files are complete and in the right version.
For e-invoices, the structured original data is part of the record. A printout or a screenshot is not equivalent filing. Sumaro makes this distinction visible and therefore speaks of support rather than claiming a certification it can’t prove.
