Papierkram alternative: less switching between job and invoice
Many self-employed people know Papierkram. Sumaro sets a different focus: a calm flow from client, estimate and invoice to receipt and incoming payment – and the figure for how much of it is yours after tax and reserves. This comparison shows which approach suits you, without claims we can’t back up.
Does your daily workflow fit Sumaro, and when does it not?
Sumaro particularly suits solo service providers looking for a clear job-to-payment workflow with a 30-day trial and a single monthly plan. Papierkram may fit better for other bookkeeping or feature requirements. The decision should be based on your actual documents and exports.
Sumaro is this site’s own product. This comparison is an editorial assessment, not an independent review.
Less follow-up work through one focused workflow.
Sumaro combines finance cockpit and Autopilot for the small service business: recurring invoices are prepared, bank transactions are matched regularly, dunning letters are presented for approval and your financial position is put into context with payment horizon and reserves.
- Autopilot that prepares plannable groundwork automatically
- AI help with estimate drafts and wording
- Finance cockpit with the next sensible task
- Controlled approvals instead of blind automation
Less follow-up work after every job. More time for your business.
Sumaro brings automation, AI help and a financial overview into one workspace. You copy less from one place to another and review the items where your decision really counts.
The actual time saved depends on your workflow. That is why you can measure it during the trial: time your current monthly routine once, then run the same client case in Sumaro and compare the review steps that remain.
AI help for estimates requires an enabled AI configuration. Sumaro deliberately describes automation and AI separately.
See Autopilot and the finance cockpit →Recurring invoices
Sumaro creates due invoice drafts in advance, with service period and payment terms, for you to review.
Incoming payments
You import bank transactions as a CSV. Sumaro reconciles the imported transactions and matches unambiguous incoming payments to open invoices.
Reminders and dunning letters
The daily dunning run prepares the letters that are due. Nothing is sent until you approve it.
Receipts inbox
Receipts from the monitored mailbox are collected regularly in one place for review.
Financial bearings
Payment horizon, revenue gaps and an expected tax reserve show what matters next.
In short: Sumaro cuts the business follow-up work where it repeats every month. The Autopilot prepares plannable tasks, the AI helps with estimates, and the dashboard organizes incoming payments, open items, revenue gaps and the tax reserve. Critical steps deliberately stay reviewable, so you save time without giving up control.
Compare the workflow that costs you time every month.

The time saved here doesn’t come from a blanket guarantee of hours, but from a shorter monthly run: recurring cases, incoming payments, dunning drafts and receipts arrive prepared for your review. Test the same client case in both systems: an estimate, an invoice, an incoming payment and one open receivable. That way you compare the actual workflow, not just feature lists.

What should be at the center?
With Sumaro, the context of a job comes first. Client data, project, estimate, invoice and payment aren’t treated as isolated files.
Papierkram may win you over with its own breadth of features or existing integrations. A fair alternative therefore also says when the competitor can be the better choice.
E-invoicing and small business owners
Sumaro explains XRechnung, ZUGFeRD and the notes required for small business owners (Kleinunternehmer) with sources and clear limits. The app can prepare structured output but does not claim certification.
With both systems, check whether your client formats, reference fields and archiving requirements are fully covered.
Receipts, bank and dunning
In Sumaro, expenses and receipts are linked to a workspace, project or business partner. Bank transactions help match payments and open invoices.
Dunning shows due date and history. No automatic message is sent without taking the contact situation and the specific case into account.
Migration and decision
Before switching, export clients, documents, open invoices, number sequences and receipts. Clarify with your tax advisor which originals must be kept in the old system.
First test a completed job and an open receivable. If you can handle both without switching between tools, the alternative holds up in practice.
Compare ways of working, not marketing terms
Ask yourself where in your monthly routine the most friction arises. Do you have to copy data from an estimate into an invoice? Do you search for a client’s receipts? Do you overlook overdue payments? Phrase these situations as tests and compare both systems with the same data set. That turns the comparison into a concrete decision for your business.
A broader product can cover more tasks and therefore be the better choice. A focused workflow, on the other hand, can be quicker to learn. What matters is that you also weigh the consequences for export, support, retention and later scaling – not just the start screen.
- Define your five most common monthly tasks
- Use one consistent test data set
- Include long-term export and retention questions
Switching from Papierkram to Sumaro
If you’re considering a switch, first back up the originals and the current open items. Don’t transfer clients and number sequences blindly; decide from which date new documents are created in Sumaro. Depending on retention and process requirements, old invoices can stay in the previous system.
After the start, plan a short parallel check: compare the first invoice, the first incoming payment and the first receipt export with the old workflow. That way you find missing master data early, before a whole month-end close is affected.
When is Papierkram the better choice?
Papierkram may be the better choice if you need EÜR, UStVA, cash flow, time tracking, a client portal or its broader bookkeeping and project features directly in the system.
